Solar Technology Company: Automated PDF Invoice Processing with Zapier

The challenge

The company processes 80–100 PDF invoices per week from suppliers in Germany, Austria and Switzerland. Each invoice was downloaded, compressed and keyed into the ERP by hand before finance sent a notification. The process was slow, error-prone and could not scale.

A slow manual workflow

Four manual steps per invoice:

• Download the attachment from Outlook and save it locally
• Compress the PDF (2–3 minutes per high-resolution file)
• Enter invoice data into the ERP (supplier, number, line items, totals)
• Upload the PDF to Superchat and send a WhatsApp message to logistics and accounting

Errors and no transparency

Inconsistent file names led to lost or duplicate invoices, missing attachments delayed payments and cost early-payment discounts, and manual entry caused 5–7 discrepancies a month.

No room to grow

With 15% annual growth, the workflow could not keep up without hiring.

The solution

An end-to-end Zapier workflow that automates every step:

• New invoice PDFs in the Outlook inbox are detected automatically
• Attachments are filtered by file name and sender domain
• PDF.co compresses each file and extracts invoice data with an AI parser
• Compressed PDFs are archived in a clear Google Drive folder structure
• Superchat sends a WhatsApp message with the PDF link and invoice details to accounts payable and logistics

The results

• Time per invoice down from 8–10 minutes to under 2 minutes
• ~80 working hours and ~€4,800 saved per month (at €60/hour)
• Discrepancies down from 5–7 to under 1 per month (95%+ parser accuracy)
